Data Deletion Request

At ai-dm, you are in control of your personal information. This page explains how to request deletion of your account, your brand's data, and any personal information we hold about you — and what happens after you submit a request.

Quick Summary

  • You can request deletion at any time, free of charge.
  • We acknowledge every request within 7 business days and complete deletion within 30 days (or sooner where required by law).
  • We delete your raw personal data, brand data, conversational chat history, AI agent reasoning traces, OAuth tokens, and platform-sourced data. We retain only anonymized, aggregated learnings that cannot identify you or your brand, and the minimal legally required records described below.
  • You will receive an email confirmation when deletion is complete.

Who Can Request Deletion

Any of the following can submit a deletion request:

  • Account holders — agencies, businesses, or brand owners with an active or inactive ai-dm account.
  • End-users whose personal information may have been processed through ai-dm by one of our brand customers (for example, social media followers whose messages or interactions were processed via a connected platform).
  • Authorized agents acting on behalf of an account holder or end-user, with verifiable written authorization.
  • Legal representatives acting on behalf of a deceased or incapacitated individual (where applicable under DPDP Act or other applicable law).

How to Request Deletion

You have three ways to submit a deletion request. All three are equally valid.

Option 1: In-App Deletion (Account Holders)

If you have an active ai-dm account:

  1. Log in to your ai-dm account at https://www.ai-dm.ai
  2. Navigate to Settings → Account → Delete Account
  3. Confirm your identity by re-entering your password
  4. Review the summary of what will be deleted
  5. Click Confirm Deletion

Your request will be logged immediately and our team will be notified.

Deleting a single brand (without deleting your account). If your account holds more than one brand, you can permanently delete an individual brand and all of its data without affecting your account, your credits, or your other brands. Open that brand and go to its Brand Dossier → Delete brand data, then choose Request deletion. A 30-day grace period applies: the brand keeps working during the window and you can cancel the deletion at any time from the same place. After 30 days, a daily job irreversibly purges that brand and all of its data across every ai-dm service — its Knowledge Graph, analytics records and time-snapshots, generated content and jobs, chat history, products, and all connected-platform tokens and platform-sourced data (except for anonymized aggregated learnings, which are non-identifying and retained as described in our Privacy Policy).

Option 2: Email Request

Send an email to ai-dm@ai-dm.ai with the subject line: "Data Deletion Request"

Please include the following in your email:

  • Your full name
  • The email address associated with your ai-dm account (if applicable)
  • The brand or business name (if applicable)
  • A brief description of what you want deleted (full account, specific data, or specific platform connections only)
  • Confirmation that you are the account holder, an authorized agent, or an affected end-user

We will respond within 7 business days to acknowledge receipt and may request additional information to verify your identity.

Option 3: Postal Request

You may also send a written deletion request to:

Identity Verification

To protect your data, we will verify your identity before processing any deletion request. Verification methods may include:

  • For account holders: confirmation from the registered account email, or password re-entry.
  • For end-users: a reasonable matching of identifiers you provide (such as social media handle, email, or platform account ID) against records we hold on behalf of our brand customers.
  • For authorized agents: a signed written authorization from the data subject, plus identity verification of both the agent and the data subject.

We will not process a deletion request if we cannot reasonably verify identity, as deletion of the wrong account would itself cause harm. If we cannot verify, we will tell you why and what additional information would help.

Where applicable law (such as GDPR or DPDP Act) requires a shorter timeline, we will follow the legally required timeline.

In rare cases, we may extend the response period by up to an additional 60 days where the request is complex or involves a large volume of data. We will notify you of any extension and the reason.

What Will Be Deleted

When your deletion request is processed, we will delete the following from our production systems and, within 90 days, from our backup archives:

  • Account Information: name, email, phone number, profile image, login credentials, billing contacts, PAYG configuration (Budget Cap settings, payment method references).
  • Brand Knowledge Graph entries: brand positioning, personas, products, pain points, desires, content angles, competitors, trend signals, audience segments, performance metrics, ad insights, and any other entities and relations associated with your account.
  • Conversational Chat History: all chat conversations and messages you have exchanged with ai-dm's conversational interface, including the questions you asked, the responses ai-dm provided, and any context retained for conversation memory.
  • AI Agent Reasoning Traces: internal audit records that captured the reasoning steps of agentic AI flows that ran on behalf of your account. Note that summary records demonstrating that certain compliance checks ran may be retained as required by our audit obligations — but the substantive content tied to your account will be removed.
  • Generated Content: content drafts, campaign drafts, workflow outputs, AI-suggested input field values you accepted or rejected, AI-presented output renderings, and module job histories tied to your account.
  • Platform-Sourced Data: posts, follower data, engagement metrics, ad accounts, campaign data, ad insights, creative assets, audience data, and messages sourced from connected platforms — including Meta/Facebook/Instagram, Google (including Google Ads, YouTube, Google Business Profile, Google Analytics, Google Tag Manager, Google Merchant Center, Google Search Console), LinkedIn, TikTok, X, Pinterest, and others.
  • Programmable Configuration Data: the scrape and sync cadences you configured per data source, your alert thresholds, and other preferences.
  • OAuth Tokens, Refresh Tokens, and Consent Records: all platform authorization tokens are revoked, the corresponding integrations are disconnected, and the consent records linking your account to each platform are deleted (subject to the audit-log carve-out below).
  • Usage and Device Information: usage logs, device identifiers, IP address records, agent session logs, chat session logs, and PAYG metering events associated with your account (subject to the Terms of Service acceptance record carve-out below).
  • Billing and Commercial Records: subject to legal retention requirements (see "What We Are Legally Required to Retain" below).

What Will Be Retained

We retain only the following after deletion, and only as permitted or required by applicable law:

1. Anonymized, Aggregated Learnings

ai-dm derives abstracted, aggregated, and anonymized learnings from data across our platform — for example, category-level benchmarks and statistical patterns that help all our customers improve their results. These learnings:

  • Do not identify any individual brand, customer, end-user, or audience member.
  • Cannot be reverse-engineered to reconstruct your data, creatives, audiences, campaigns, or chat conversations.
  • Are governed by minimum-cohort thresholds (a minimum number of contributing brands or records per insight, sized to prevent re-identification) and other technical and organizational safeguards. These safeguards include the removal of all direct and indirect identifiers, aggregation to ranges or buckets rather than precise values where appropriate, k-anonymity-style cohort sizing, and contractual prohibitions on attempted re-identification by our employees, contractors, and service providers.

Once data is properly anonymized and aggregated to meet these thresholds and safeguards, it no longer contains your personal information and is not subject to deletion under GDPR, CCPA/CPRA, the DPDP Act, or equivalent laws. These learnings survive your account deletion. This is explained in our Privacy Policy under the "Cross-Brand Learning and Anonymized Insights" section.

2. Legally Required Records

We retain the minimum information necessary to comply with our legal obligations, including:

  • Tax and accounting records: invoices, payment records, GST filings, and PAYG metered billing statements, retained for the period required under Indian tax law (typically 8 years).
  • Audit logs of the deletion request itself: required to demonstrate compliance with GDPR, DPDP Act, and other privacy laws. The log entry records that a deletion occurred but does not contain the deleted personal data.
  • Terms of Service acceptance records: the version of the Terms you accepted, a SHA-256 hash of the rendered text of that version, your IP address, your user-agent, and a UTC timestamp, retained for the life of the account plus seven (7) years to evidence contract formation and your acceptance of the Terms, as described in Section 1 of our Terms of Service. This record contains no brand data, no usage data, and none of the substantive content of your account.
  • Connected Platform consent audit: a minimal record that a particular consent was granted and subsequently revoked, retained as required by Connected Platform developer terms and our app validation obligations. This record contains the platform name, the date the consent was granted, the date it was revoked, and the version of our app — and does not contain the substantive data we collected during the consent period.
  • Anti-fraud records: limited records required for fraud prevention and investigation.

3. Information We Cannot Delete

In limited cases, we may be unable to delete certain information, such as:

  • Data that has already been shared with third parties at your instruction (for example, posts you authorized us to publish to Meta, content you authorized us to upload to LinkedIn, pins you authorized us to push to Pinterest — these remain governed by those platforms).
  • Data subject to an active legal hold, subpoena, or law enforcement request.
  • Information necessary to protect the rights, property, or safety of ai-dm, our other users, or the public.

Where we cannot delete information, we will tell you which information was retained and why.

What Happens to Connected Platforms

When your account is deleted, we revoke all OAuth tokens for all connected platforms simultaneously and delete data we have sourced from those platforms.

Meta (Facebook, Instagram, Meta Business Suite, Meta Business Manager, Meta Ads Manager, Meta Pixel)

OAuth tokens revoked. Any data we sourced from your Meta accounts (including ad accounts, campaign data, ad insights, creative assets, audience data, page posts, Instagram media, and direct messages) is deleted from our systems within 30 days, and from backup archives within 90 days. Data you posted to Meta platforms remains on those platforms and is governed by Meta's policies — you can manage it via your Meta account directly.

Google (Google Ads, YouTube, Google Business Profile, Google Analytics, Google Tag Manager, Google Merchant Center, Google Search Console)

OAuth tokens revoked. Data sourced from your Google accounts is deleted from our systems within 30 days, and from backup archives within 90 days. Data already shared with Google (such as live ad campaigns, GTM tags, Merchant Center products, or Search Console-monitored properties) remains on Google's platforms.

LinkedIn (LinkedIn Pages, LinkedIn Campaign Manager, LinkedIn Sales Navigator)

OAuth tokens revoked. Data sourced from your LinkedIn accounts (page analytics, campaign data, lead gen forms, and related insights) is deleted within 30 days, and from backup archives within 90 days. Posts you published via LinkedIn remain on LinkedIn.

TikTok (TikTok for Business, TikTok Ads Manager)

OAuth tokens revoked. Data sourced from your TikTok accounts is deleted within 30 days, and from backup archives within 90 days. Content you published to TikTok remains on TikTok.

X (X Ads, X for Business)

OAuth tokens revoked. Data sourced from your X accounts is deleted within 30 days, and from backup archives within 90 days. Posts you published to X remain on X.

Pinterest (Pinterest Business, Pinterest Ads, Pinterest Trends)

OAuth tokens revoked. Data sourced from your Pinterest accounts (board analytics, pin performance, ad campaign data, audience insights, and Trends data tied to your account) is deleted within 30 days, and from backup archives within 90 days. Pins you published to Pinterest remain on Pinterest.

Other Platforms

For any other Connected Platform integrated by you, the same approach applies — OAuth tokens are revoked, sourced data is deleted from ai-dm within 30 days (90 days for backups), and data on the platform itself remains under that platform's control.

If you also wish to delete data held by any of these platforms, please use the respective platform's own deletion process. ai-dm cannot delete data we never received and cannot delete data already published on the platform under your authorization.

Confirmation

When your deletion is complete, we will send a confirmation email to the address from which the request was submitted (or the account email, if different). The confirmation will include:

  • The date deletion was completed.
  • A summary of categories of data deleted.
  • A note of any data retained and the legal basis for retention.
  • Contact details if you have any follow-up questions.

Your Rights Under Applicable Law

You have additional rights beyond deletion under various privacy laws, including the right of access, correction, data portability, and the right to lodge a complaint with a supervisory authority. These rights are explained in full in our Privacy Policy.

India Residents (DPDP Act)

Under the Digital Personal Data Protection Act, 2023, you may raise grievances directly with our Grievance Officer:

EU/EEA and UK Residents (GDPR / UK DPA)

If you are unsatisfied with how we handle your deletion request, you may lodge a complaint with your local Data Protection Authority. A list of EU authorities is available at https://edpb.europa.eu/about-edpb/about-edpb/members_en.

California Residents (CCPA / CPRA)

You have the right to non-discrimination for exercising your deletion rights. You may also designate an authorized agent to make a request on your behalf. If you believe we have not honored your rights, you may file a complaint with the California Privacy Protection Agency at https://cppa.ca.gov.

Q: How long does deletion take?
We acknowledge requests within 7 business days and complete deletion within 30 days of identity verification. Backup archives complete within 90 days.

Q: Will my data really be gone?
Yes. Your raw personal data, brand Knowledge Graph entries, conversational chat history, generated content, and platform-sourced data are permanently deleted from our production systems within 30 days, and from backup archives within 90 days. Only anonymized aggregated learnings — which cannot be linked back to you — and the minimal legally required records described above remain.

Q: Will my chat conversations be deleted?
Yes. Conversational chat history, including the questions you asked ai-dm and the AI-generated responses, is deleted on the same timeline as the rest of your account.

Q: What happens to AI agent reasoning records tied to my account?
Internal audit records of agent reasoning steps tied to your account are deleted on the same timeline as the rest of your account, except for minimal compliance-audit summaries that we are required to retain to demonstrate that our guardrails and policies ran correctly. These summaries do not contain the substantive content of your interactions.

Q: Can I cancel a deletion request?
Yes, if you contact us within the 30-day soft-deletion period before hard deletion occurs. Once hard deletion is complete, data cannot be restored.

Q: Do I need to delete my account to revoke a specific platform connection?
No. You can revoke individual platform connections (Meta, Google, LinkedIn, TikTok, X, Pinterest, etc.) from your account settings without deleting your full account. Visit Settings → Connected Platforms.

Q: I'm on Pay-As-You-Go (PAYG). What happens to my usage charges when I delete?
Any usage you incurred up to the moment of deletion will appear on your next invoice and will be charged in arrears. The deletion itself will not trigger an additional charge. Your payment method reference is deleted along with the rest of your account information.

Q: What if I am a customer of one of your brand customers and don't have an ai-dm account?
You can still request deletion of any personal information ai-dm may hold about you. Email us at ai-dm@ai-dm.ai with as much identifying information as you can provide, and we will work with the relevant brand customer to honor your request.

Q: Is there a fee for deletion?
No. Deletion is free. We may charge a reasonable fee only for repeated, manifestly unfounded, or excessive requests, as permitted by GDPR Article 12(5).

Q: Will deletion affect anonymized learnings ai-dm has already derived?
Anonymized aggregated learnings are retained because they cannot be linked back to you. Once data is properly anonymized and aggregated to meet the minimum-cohort thresholds and other technical and organizational safeguards described in our Privacy Policy, it no longer contains your personal information and is not subject to deletion under GDPR, CCPA, or DPDP Act.

Q: Does ai-dm use my data to train its AI models?
No. We do not use your inputs, your brand Knowledge Graph entries, your chat messages, or data sourced from your Connected Platforms to train large language models — whether ours or third parties'. Our AI providers' commercial terms, by default, prohibit them from training their models on our API inputs and outputs. Deletion of your account stops all use of your raw data immediately upon verification.
